FUNDRAISING AND EVENTS DESCRIPTION LIST 


The following is a list of the various events and fundraising programs that the Englewood PTC is involved with, and a brief description of each program. The purpose of this description list is to give you a better understanding of each of the fundraising programs and to provide you with a link to the blog article (if one exists) for that program where you can obtain more information. Sign-up forms for any of these programs are either available at the program’s web site or will be distributed at another time.            


Pancake Breakfast: This event occurs in September, early morning on a Saturday, and is one of the social events that the PTC hosts. The event is held to welcome new and returning families to Englewood, and to allow the children to spend time with each other outside of the classroom. It is also a great time for families to get to know each other.          

Jog-a-Thon: This is our major fundraiser, taking place in Fall. We’ve been able to raise over $13,000 with this one event! Children are asked to collect pledges from friends and family for this event. 100% of what is pledged goes directly to Englewood. This event will be held during the school day so that every child will have the opportunity to participate. It’s a great way to also promote the importance of physical fitness.      

Fall Book Fair: The Book Fair is a 4-5 day event where a wide variety of books for children of all ages are put up for display. Parents and families are given the opportunity to purchase these books from the Book Fair, where all proceeds go back to Englewood. We have family events during the Book Fair we host “Parent's BBQ Lunch” and a “Grandparent’s Lunch”. The funds are used to purchase books that were on the library and classrooms wish lists.

Winter Fest: This is a community event is usually held right before the winter holiday break. PTC hosts, with holiday music, BINGO, festive crafts, wintery photo backdrop, soup, rolls or healthy snacks, popcorn, hot cocoa, and apple cider.      

Science , Math and Writing Nights: Family discovery nights, put on through the PTC, hosed by educational mediums such as; The Oregon Writing Project at Willamette University; the A.C. Gilbert House Discovery Village; SKEF, and OMSI.

Family Fun Night: The Family Fun Night Carnival event is a huge success. This event not only allows the Englewood community to come together but allows friends, family and additional Englewood Academy supporters to join in on an amazing fundraising occasion. Games, Prizes, Food, Face painting, Crafts, Cakewalk, and a DJ! (Watch for communications on volunteer/donation opportunities!)
Silent Auction: Auction is hosted and coordinated by a planning committee. Donations valued from $20-$600 are collected with 100% of the proceeds going to Englewood. It’s an event you don’t want to miss!
Classroom Gift Basket Raffle: Each grade chooses a theme for a basket, the PTC gives the classrooms a box and after a month of collections, each grade puts a themed basket together.       

Spring Book Fair: The Book Fair is a 4-5 day event where a wide variety of books for children of all ages are put up for display. Parents and families are given the opportunity to purchase these books from the Book Fair, where all proceeds go back to Englewood. We have family events during the Spring Book Fair we host “Donuts for Dads”, where we serve donuts and coffee, and a “Parent’s BBQ Lunch”. The funds are used to purchase books that were on the teacher’s wish list.

Staff Appreciation Week: The PTC and room parents provides either brunch or lunch for the staff to show our appreciation for all their hard work and dedication. We’ve found that homemade dishes are the most popular rather than having the events catered. We decorate either the staff room and provide food and beverages that the staff can enjoy throughout the day.

eScrip: eScrip is a program which requires no additional funds from you. You can register your Safeway card through this program so that a percentage of what you spend is donated to Englewood Elementary. You can also register any or all of your credit cards into the eScrip program. Then every time these credit cards are used at businesses that also participate in the program, (i.e. Macy’s, Big 5 Sporting Goods, or Carl’s Jr.) a percentage of what you spend is also donated to Englewood. Box Top$ Classroom Competitions: One in the fall and one in the spring. The three classrooms that bring in the most Box Top$ win a popcorn party, and teachers either get Scholastic dollars or PTC Bucks.
The Box Tops for Education program is a simple way to raise funds for the school at no additional cost to you. Collect box tops by clipping the special “Box Tops for Education” from hundreds of General Mills and other products. Each box top is worth 10 cents when our school redeems them from General Mills. Other ways to raise funds through this program are to shop online through the Box Tops Marketplace, or make purchases using the Box Tops Visa card. Restaurant Nights: Every trimester the PTC arranges an Englewood Family Night at various local establishments, such as Boon’s Treasury, Carl’s Jr., and Chuck E. Cheese. 50% to 25% of what Englewood families spend on these evenings are donated to Englewood.

School Spirit Apparel: Make arrangement with shirt printing business. Determine price. Make a form for pre-orders, print and send home with students. Collect money. Order shirts. Distribute shirts. 

Artists in Residence: Contact the Salem Artist Association, fill out the school application form. Decide on the artistic medium; Drawing, Painting, Sculpture, Ceramics, Fibers, Paper Collage, Screen Printing, Book Arts, Printmaking, Basketry, Photography, Writing, Dance, Theatre, Music, Movement, Storytelling, Percussion, and Puppetry. Request Artist and dates. Coordinate dates and times with staff. Arrange for helpers. Total Estimated annual hours: 10

Movie Night: Secure a movie license and ensure that the gym is available for the showing. Make sure there is a helper available the night of the movie who knows how to work the equipment. Advertise the event and collect donations for concessions. Arrange for helpers to run concessions, and count money. 

Bingo Night: Collect donated prizes and advertise for the event. Get Bingo cards and appoint an announcer. Arrange for refreshments and secure a location at the school for the event. Arrange for helpers and money counters. 

Fund Raising Coordinator: Coordinates a yearly, or multi-year plan of fund raising by working closely with all fund raising committee chairs. Chair evaluates all fund raising programs to determine if the program should continue, be improved or discontinued, and develops a budget for all programs, approved in May. Works to improve the communication of chairs with one another, and supports and implements any new fundraising activities throughout the school year.

Donation Coordinator: Maintains list of potential donors, coordinates the contacts made to potential donors, coordinates acquisition of donations, tracks types of donations received and value of items, sends "Thank You's" to donors following events.

Webmaster: Responsible for maintaining the PTC Blog and Facebook page, add bulletins and event information in a timely manner. The School newsletter is posted every Thursday. Ideally, the webmaster should be prepared to work closely with office and the PTC board members to meet that typical posting commitments. Website is fairly stable and is currently in a maintenance mode. Time commitment is based on number and amount of changes to be made. The beginning of the year has most of the changes after which it should be in a regular maintenance mode. Average time spent by webmaster could be 3 hours per week. The time commitment for the Blog and Facebook could vary depending on the extent of details planned for covering, reporting, picture release permissions & approvals, and publishing events. If not on the PTC executive board, the webmaster is still required to attend 2 hour long meetings (1 the executive board meeting and 1 the PTC community meeting) each month. Ideally, the webmaster should be accessible and available/able to disseminate information throughout the year. If you are new to Blogger, account for some self-training time during summer. 

Popcorn Friday: Plan, at least, one Popcorn Friday per month and arranges for advertising. Arrange for volunteers to collect and count the money, and make and deliver the popcorn.

Box Tops for Education Coordinator: Collect labels or box tops from classroom containers to meet contest deadlines. Organize contents/events with prizes for the classroom with the most box tops. Twice a year trims, staples, and sends labels for rebates. 

Cans and Bottles Recycling: Organize can and bottle drives throughout the year. Maintain the holding station in good order and arrange for cans and bottles to be returned in a timely manner. 

Room Parent: Coordinates classroom parties and activities and volunteers and acts as general resources for the teachers when extra support is needed.

Room Parent Coordinator: Oversees Room Parents and insures that they have access to the recourses and volunteers needed to help teachers. Acts as a Key communicator between the Volunteer coordinator and the Room Parents. 

New Family Chairperson: Organizes a committee to call each new family before Registration Day in August. During Registration Day, provides each new family with a “registration guide” to answer any questions and to guide them through the registration process. Contacts families of any new students that start mid-year and provides them with any pertinent school information and offers a tour of the school.

Lost and Found: Organizes, cleans, and maintains school lost and found. Returns labeled items to students. Two times per year takes unclaimed items to local charities.

Pantry: Oversees collection of donated funds and snacks to support the after school programs for the year. Sends out request sheets, collects all donations, and purchases gift certificates. 

Bulletin Board and Calendar: Creates and updates the large school calendar on display in school hallway and utilizes the rest of the space to appropriately promote Parent Club activities and events.
